Position Summary

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support Dr. Lydia Smith and the leadership team. The ideal candidate will play a pivotal role in ensuring smooth day-to-day operations, managing schedules, and facilitating communication within and outside the organization.


Key Responsibilities

Administrative Support

  • Manage and coordinate Dr. Smith’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize meeting materials, agendas, and presentations.
  • Handle correspondence, emails, and phone calls on behalf of Dr. Smith, ensuring prompt and professional communication.
  • Maintain confidentiality of sensitive information at all times.

Operational Management

  • Track deadlines, prioritize tasks, and follow up to ensure project completion.
  • Assist in creating and maintaining organizational systems and processes.
  • Monitor and manage budgets, invoices, and expense reports.

Client and Stakeholder Engagement

  • Act as the first point of contact for clients, partners, and team members.
  • Coordinate client meetings and ensure a seamless experience for stakeholders.
  • Represent Dr. Smith in a professional manner in all interactions.

Research and Special Projects

  • Conduct research to support ongoing initiatives and provide actionable insights.
  • Assist in drafting reports, proposals, and other professional documents.
  • Take on ad hoc tasks and projects as required to support the business’s success.

Qualifications

Education and Experience

  • Bachelor’s degree in business administration, communication, or a related field preferred.
  • Minimum of 3-5 years of experience in an executive assistant or similar role.

Skills and Competencies

  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Professional demeanor with excellent interpersonal skills.
  • Discretion and integrity when handling confidential information.
